How we use Pocket to capture client meetings

How we use Pocket to capture client meetings

Every client project we take on starts with a conversation: a discovery meeting in an office, a walk through a shop floor, a call from a car between two appointments. Those conversations hold the details that matter most, such as how a team really approves an invoice, which spreadsheet nobody dares to touch, or what the owner is actually worried about. For a long time, too many of those details lived in half-finished notes, or in someone's memory until the evening, when they were typed up from scratch.

The problem was never that we did not care about notes. It was that taking good notes and listening properly compete for the same attention. When you are writing, you are not really in the conversation. When you are in the conversation, the notes suffer. And anything re-typed hours later is already a summary of a summary.

So we started using Pocket, a small AI recorder about the size of a phone accessory. According to Pocket, it captures conversations, transcribes them and turns them into summaries, action items and mind maps in its app for iOS and Android, with recordings protected by end-to-end encryption. In practice, for us, that means we can put our full attention on the client and still leave with a complete record.

If you want to see it in action, Pocket's own product film is worth a watch: https://youtu.be/XupW9pi11MI

If you'd rather see it condense an actual conversation into a summary, Pocket also has a short clip showing exactly that: https://cdn.shopify.com/videos/c/o/v/e423dc02dc23447e91168fcc07704a19.mp4

Here is how we actually use it. At the start of a discovery meeting or a site visit, we tell everyone that we would like to record, and why. If anyone would rather we did not, we do not. Afterwards, we read the summary and the action items before trusting them, correct anything the transcript misheard, and then add what matters to the client's record in our CRM, which runs on Odoo: the key requirements go into the lead's notes, and each follow-up becomes a scheduled activity with an owner and a date. Today we do that step by hand. It takes a few minutes, and reviewing the summary is exactly when we catch the details worth acting on.

Who is this useful for? In our experience, anyone whose important conversations happen away from a desk. Property agents between viewings and landlord calls. Freelancers and consultants who run every client meeting themselves and have nobody else taking notes. Small teams where the person who met the client is not the person who will do the work, and a clear written record saves a second meeting.

It is not perfect, and it is worth being clear about where it falls short. First, recording people carries responsibility: in Hong Kong, personal data rules apply, so always tell people before you record and respect a no. Second, an AI summary is a first draft, not the truth. Check names, numbers and anything you would put in a quote. Third, test it with the way your conversations actually sound, especially if you switch between Cantonese and English mid-sentence, before you rely on it for important meetings. And it is one more device to carry and keep charged.

If notes from client meetings keep getting lost in your team, a recorder like this is one of the simplest changes you can make, and it pairs well with a CRM that turns those notes into follow-ups. If you would like to try Pocket, here's our link: https://heypocket.com/12414665

A pocket-sized AI recorder that transcribes and summarises conversations.

We record client discovery meetings and site visits with it. Afterwards we review the summary and action items, and add what matters to our CRM, instead of re-typing notes from memory.
